The Problem
Most contractors are running million-dollar bid pipelines out of a shared inbox and a spreadsheet that nobody trusts. It doesn't have to be this way.
Invitation-to-bid emails stack up, get forwarded, and eventually get missed. No single source of truth means bids fall through the cracks before you even open them.
Bid tracking spreadsheets are out of date the moment someone forgets to update them. Formulas break, versions multiply, and nobody knows which file is current.
A deadline nobody remembered costs you the job and the relationship. Without automated alerts, you're relying on someone checking the spreadsheet every morning — and that doesn't happen.
You've submitted hundreds of bids but can't answer: which GCs do we win with? What project size hits our sweet spot? Without historical data, every bid decision is a gut call.
When your estimator is out, nobody else knows the status of open bids. No handoffs, no shared context — every absence creates risk and rework.
Without a scoring framework, your team spends weeks estimating projects you were never going to win — and passes on ones that fit perfectly. Time and margin wasted on every misfire.
Capabilities
BidBoard goes beyond a simple tracker. Every feature is designed around how real estimating teams operate — from the first ITB to the final award.
Never miss a bid submission window. BidBoard automatically tracks every deadline from the moment an ITB is logged and sends escalating alerts as due dates approach.
Every award and every loss is data. BidBoard builds a searchable history of every bid you've submitted, so you can identify patterns and focus your estimating capacity where it pays off.
BidBoard is built for estimating teams, not solo users. Share bid workload across your team, track who owns what, and keep all bid context in one place — no more searching email chains.
FAQ
BidBoard is used by mechanical, electrical, plumbing, concrete, framing, and specialty subcontractors — as well as general contractors managing their own bid solicitation process. It fits any team that submits more than a handful of bids per month and needs a systematic way to track pipeline status, deadlines, and historical performance. Most customers are teams of 2–15 estimators bidding on commercial, industrial, or public works projects.
Each bid is scored across configurable criteria: relationship strength with the GC or owner, estimated margin potential, current capacity and resource availability, project type fit, and competitive landscape. Each criterion is weighted by importance and scored 1–5 by your team. BidBoard produces a composite go/no-go score that gives your decision-makers an objective starting point — you can accept the recommendation or override it with a documented reason. Over time, your historical win data refines what good scores actually predict.
Yes. BidBoard accepts CSV imports from Excel-based bid logs and from several common estimating platforms. If you have a custom spreadsheet format, our onboarding team will map your columns during setup — most customers are fully imported within a day. Historical win/loss data is especially valuable to import because it immediately powers your analytics and benchmarking dashboards from day one, rather than waiting months to build up history in BidBoard natively.
BidBoard is a bid tracking and management platform — it doesn't replace the formal submission portals required by public agencies (such as state eProcurement systems or PlanetBids). What it does is give your team a structured workflow for managing public bid pursuits alongside private work: tracking ITB receipt, addendum acknowledgment, bonding requirements, DBE documentation deadlines, and submission confirmation. All data is stored with full audit history, which is useful for post-award documentation requests.
